Booking rules protect your calendar, but they also shape the client experience. Rules that are too loose create no-shows and gaps. Rules that are too strict can scare away good clients. The goal is to make expectations clear before anyone books.
Start with cancellation and no-show rules
Choose a cancellation window that matches your services. A short haircut may need less notice than a long colour appointment. If you charge no-show fees or keep deposits, say so clearly before the client confirms.
Use deposits where the risk is highest
Deposits are most useful for long appointments, high-demand slots, new clients, bridal work, colour services, or services that require product preparation. You may not need deposits for every appointment.
Add buffers and realistic durations
Back-to-back bookings only work if service times are honest. Add cleanup, consultation, processing, checkout, and breaks where needed. A full calendar with impossible timings creates stress and delays.
Review rules after real bookings
After the first month, check no-shows, late cancellations, gaps, and staff feedback. Adjust rules based on evidence, not guesswork.
Use the setup checklist to make sure these rules are reflected in your booking software.
